In betaNotion integration for sign and print shops
If your shop plans, tracks or reports in Notion, PrinterFlo can keep a database there up to date for you. Connect your workspace, pick a database you already have or let PrinterFlo create one, and every new quote and order, website quote requests included, becomes a row: its number, customer, total, source and a link back to the job in PrinterFlo. Approving a quote ticks its row, and a quote turned into an order says so. It's one way: PrinterFlo writes rows and reads nothing in your workspace except the pages you share with it. The Notion Marketplace listing is in review.
What the Notion integration does
- → Every new quote and order becomes a row, whether you typed it in, it came from your online store, or a customer sent it through your website quote form.
- → Each row carries the job number and title, the customer and company, the email and phone of the person it's for, the total (discount and tax included), where it came from, the PO number, when it was created and a link to the job in PrinterFlo.
- → When a customer approves a quote, its row's Approved box is ticked; when a quote becomes an order, the same row says Order.
- → Use a database you already have: PrinterFlo fills its title and any column named Number, Kind, Approved, Customer, Email, Phone, Amount, Source, PO, Created or Link, and never adds or renames a column.
- → Or pick a page and PrinterFlo creates a "PrinterFlo jobs" database there with all of those columns, the total in your shop's currency.
- → Each job is one row: later changes update it rather than adding another, and a slow Notion never holds up a quote or an approval.
How it works
- 1
Connect your workspace
Once Notion approves the listing: in PrinterFlo, open Settings → Integrations → Notion and press Connect Notion. Notion asks which pages PrinterFlo may use; choose the page or database for your jobs.
- 2
Choose where jobs go
Back in PrinterFlo, pick a database you shared, or a page where PrinterFlo creates a "PrinterFlo jobs" database. Nothing is sent until you do.
- 3
Quote as usual
From then on, each new quote and order appears in Notion as it's created, and approvals and conversions update their rows.
Best for
Sign, print and wide-format shops that run production in PrinterFlo and keep plans, reports or a team dashboard in Notion.
Notion integration — FAQ
Does PrinterFlo integrate with Notion?
Yes. Connect your Notion workspace in PrinterFlo's Settings and each new quote and order becomes a row in a Notion database you choose. The Notion Marketplace listing is in review.
What does PrinterFlo write to Notion?
One row per quote or order: the job number and title, the customer and company, the email and phone of the person the job is for, the total with discount and tax (left blank on a quote that has no price yet), the source (PrinterFlo, Website, Shopify and so on), the PO number, when it was created, whether a quote is approved, and a link to the job in PrinterFlo. No line details, notes, files or payments.
Can I use my own database?
Yes. PrinterFlo writes the job's title into the database's title column and fills any of its columns named Number, Kind, Approved, Customer, Email, Phone, Amount, Source, PO, Created or Link when the column's type fits. Other columns are left alone, and PrinterFlo never adds, renames or deletes columns.
Are quote requests from my website included?
Yes. A request from your website quote form or designer becomes a row like any other quote, marked Website in the Source column.
Does PrinterFlo read anything else in my workspace?
No. It sees only the pages and databases you share with it in Notion, and reads only their names and a database's column names and types, to know what it can fill. It never reads your other pages or the content of rows, and never deletes anything.
What if I delete a row in Notion?
Nothing breaks. If that job changes again (an approval, say), PrinterFlo makes its row again. Disconnecting and reconnecting to the same database later updates the rows already there rather than adding second ones.
How do I disconnect?
Press Disconnect Notion on Settings → Notion in PrinterFlo. PrinterFlo deletes its stored access and writes nothing more; rows already in Notion stay. To remove PrinterFlo's access inside Notion too, remove it under Settings → Connections in Notion.
